02Information We Collect

We may collect and process the following data about you:

• Identity Data: Name, username, or similar identifier.
• Contact Data: Billing address, delivery address, email address, and telephone numbers.
• Project Data: Details about your construction project, site location, and specific requirements (e.g., drawings, soil reports) that you provide to us for the purpose of a quotation.
• Crew / recruitment data: When you apply via Work with Geovex we collect the details you choose to provide about you and your usual gang, including contact details, broad work area, travel/availability, relevant mini-piling or reinforced-foundations experience, practical answers, claimed tickets/plant competence, commercial preference and optional job photos or a CV/project list. We also record application source, the privacy-notice version shown, security/rate-control information and an internal review/contact history. Do not upload identity documents, NI numbers, UTRs, bank details, health or criminal-record information, or confidential client material at this stage. Job images can reveal faces, vehicles, site/client information or location metadata; upload only evidence you are entitled to share.
• Technical Data: Internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access this website.
• Usage Data: Information about how you use our website and services. Recruitment analytics use non-personal form events only (step progress and work-route/source codes), never contact details, free text, rates, filenames or evidence paths.
• Enquiry source data: If you arrive from a Google advert, the advert's click identifier in the page address (such as gclid) travels in our page links and is included with an enquiry you submit. If you have not accepted cookies, this uses only the page address, with no cookies or browser storage, and we rely on our legitimate interest in knowing which adverts bring enquiries. We keep it with the enquiry, and we do not currently upload enquiry records to Google. If you accept cookies, the click identifier and campaign parameters from your visit are also kept in this browser tab's session storage (see section 8) and included with an enquiry.
• Guide request data: If you request our piling quote guide and its short series of advice emails, we record your email address, when you asked, the version of the wording shown with the request, delivery status and any unsubscribe request. We use limited security data to prevent abusive signups.

03How We Use Your Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

• Performance of Contract: To provide you with a quotation or to carry out the piling and foundation services you have requested.
• Legitimate Interests: Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests. This includes responding to your enquiries and improving our services.
• Crew network / recruitment (legitimate interests): To assess whether a gang, pair or individual may be suitable for Geovex's approved mini-piling and reinforced-foundations crew network; to contact suitable applicants about relevant screening, checks, paid trials or future opportunities; to prevent duplicate/abusive submissions; and to maintain a limited record of recruitment decisions and do-not-contact requests. The acknowledgement on the form records that the privacy notice was shown — it is not consent used as the lawful basis for the core application, and there is no marketing opt-in. Candidate evidence is stored in a separate private store and reviewed only by authorised Geovex staff through a controlled proxy — not published as public links in emails or social channels.
• Requested guide series (consent): When you ask for the piling quote guide, you can download the PDF straight away and we use your address to send a short series of follow-up emails with practical advice and information about our piling services. The series then stops. Your request does not enrol you in an ongoing newsletter. Every email includes a way to unsubscribe; unsubscribing stops all Geovex marketing emails to that address.
• Legal Obligation: Where we need to comply with a legal or regulatory obligation. Later CIS, tax, payment or engagement checks are handled separately when those obligations apply.

04Data Sharing

We do not sell your personal data to third parties. We may share your personal data with:

• Service Providers: Third parties who provide IT and system administration services.
• Professional Advisers: Including lawyers, bankers, auditors, and insurers.
• Subcontractors: If specific specialist work is required for your project, we may share necessary project details with trusted partners, but only with your knowledge.
• Regulatory Bodies: HM Revenue & Customs, regulators, and other authorities acting as processors or joint controllers based in the United Kingdom.

What we collect

We collect the details you choose to provide about you and your usual gang, including contact details, broad work area, travel/availability, relevant mini-piling or reinforced-foundations experience, practical answers, claimed tickets/plant competence, commercial preference and optional job photos or a CV/project list. We also record the source of the application, the version of this notice shown, security/rate-control information and an internal review and contact history.

Do not upload identity documents, National Insurance numbers, UTRs, bank details, health information, criminal-record information or confidential client material at this stage. Job images can reveal faces, vehicles, site/client information or location metadata; upload only evidence you are entitled to share.

Why we use it and our lawful basis

We use the application to assess whether a gang, pair or individual may be suitable for Geovex's approved mini-piling and reinforced-foundations crew network; to contact suitable applicants about relevant screening, checks, paid trials or future opportunities; to prevent duplicate/abusive submissions; and to maintain a limited record of recruitment decisions and do-not-contact requests.

Our basis for the crew-network assessment, contact and security processing is Geovex's legitimate interests in finding, assessing and maintaining a reliable pool of specialist site capacity, operating a secure application route and recording defensible decisions. We balance those interests against applicants' rights by keeping the form relevant, making CV/photos optional, restricting access, avoiding automated decisions, reviewing retention and allowing objection or deletion requests. Where we later take steps for a specific proposed contract at your request, we may also process what is necessary for those pre-contract steps. Where a law requires later identity, tax, payment or engagement checks, the applicable legal obligation is handled separately at that stage.

The acknowledgement box records that this notice was shown. It is not consent used as the basis for the core application, and there is no marketing opt-in.

Where information comes from

Most information comes directly from you. If you progress, we may receive relevant verification information from applicant-supplied referees, card/competence verification services or public professional sources, with the appropriate notice and controls. We do not ask people to submit someone else's application or private contact details without their knowledge.

Who receives it

Access is limited to authorised Geovex reviewers and service providers supporting the secure website, database, private evidence storage and internal notification. The first release uses Vercel for the website/private evidence store, Convex for the application workflow and Resend for a minimal internal notification. They process information under their service/data-protection terms. We may also share information where required by law or with professional advisers where necessary. We do not sell applicant data or publish uploaded evidence.

Service providers may process information outside the UK. Where this occurs, Geovex relies on the provider's applicable UK transfer mechanism and safeguards and keeps that position under review.

How long we keep it

Applications receive a review date around 12 months after receipt; this is a Geovex review interval, not a fixed legal retention period. We delete or minimise information sooner when it is no longer needed. Evidence from an abandoned form is removed after the short pending-upload period. Where you ask not to be contacted, we remove unnecessary application content and retain only the minimum keyed suppression evidence needed to respect that request. A justified legal claim/hold may delay deletion of the minimum relevant material.

Your choices and rights

Applying does not guarantee work. A person makes every screening, trial and approval decision; the form does not automatically reject applicants.

You may ask for access, correction, deletion or restriction, or object to our legitimate-interests processing. You can also ask not to be contacted about future opportunities. Contact enquiries@geovex.co.uk or write to the registered address above. We may need to confirm your identity before disclosing or changing personal data. You may complain to the UK Information Commissioner's Office at https://ico.org.uk/make-a-complaint/.

05Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way, altered, or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors, and other third parties who have a business need to know.

06Data Retention

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. By law, we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes.

Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to:

08Cookies

The recruitment and contact forms save your unfinished answers in this browser on this device as you type, so you can return after navigating away or refreshing. Drafts are not sent to Geovex until you submit the form. They remain until you clear the draft or receive a successful submission confirmation. Other drafts opened in separate tabs can remain available for recovery. Use “Clear all saved drafts” on shared devices, or download a copy for your own records. Attachments must be selected again when you reopen a form. Browser settings, clearing site data or loss of the device can remove locally saved drafts.

Our website uses cookies to distinguish you from other users of our website. This helps us to provide you with a good experience when you browse our website and also allows us to improve our site. You can set your browser to refuse all or some browser cookies, or to alert you when websites set or access cookies.

If you decline cookies

If you decline cookies, no advertising or analytics cookies are used: any that Google set on this site on an earlier visit are removed. This browser keeps a note that you declined, so we don't ask again, and any form answers you haven't sent yet, as described above. Our Google tags still send Google a basic measurement signal for the pages you visit, without cookies. If you accept cookies

If you accept cookies, Google Analytics and Google Ads set cookies on your device, so we can measure visits over time and see which of our adverts lead to enquiries. If you then send us an enquiry, a hashed (encoded) copy of the email address you give us is shared with Google, which matches it against its own records to tell us whether one of our adverts led to your enquiry. Your email address, hashed or not, is never shared with Google if you decline. You can change your choice at any time from Cookie settings at the foot of our pages.
